RFID Inventory Management at Dental Practices

Basiq Dental, a dental wholesale supplier known for its competitive pricing and high delivery reliability, has partnered with SQUARE Concepts to improve inventory management at dental practices through advanced RFID technology.

Previously, practices relied on manual barcode scanning— a time-consuming and error-prone process that could take up to two days to complete.

Now, with Square Concepts’ RFID technology, a full inventory check can be completed in as little as five minutes. Using handheld scanners, RFID-labeled items are automatically detected, and inventory levels are updated in real-time. This streamlined process enhances accuracy and frees up valuable time for dental professionals to focus on patient care.

RFID Use

Operating from its distribution center in Oisterwijk, Basiq manages over 15,000 consumables, instruments, and other dental materials, shipping more than 4.5 million unique items annually to dental professionals across Europe.

Collaboration Driving Innovation

The journey toward full RFID implementation began in 2023 with a feasibility assessment. Following a successful pilot phase— including extensive testing of RFID labels across different product types— Basiq Dental upgraded its infrastructure and installed new hardware components. The company’s SAP system was also updated to fully support RFID functionality.

To support this, Square developed the Basiq Flow software platform, which continuously monitors stock levels and automatically generates replenishment proposals when thresholds are reached. These proposals are automatically added to the Basiq Dental shopping cart, allowing dental practices to place their orders immediately.  Another key benefit is the ability to track inventory at the individual item level using “best before” dates, enabling optimal product usage and minimizing waste. This proactive system minimizes administrative burden and ensures that essential supplies are always available.

The implementation of RFID has brought significant operational advantages for Basiq Dental itself. One key innovation is proof of delivery, which ensures orders are verified and complete before shipping— boosting delivery reliability and reducing fulfillment errors.

In addition, the RFID infrastructure is being leveraged to optimize internal warehouse operations—i mproving logistics, enabling real-time tracking, and enhancing inventory accuracy. What began as a customer-focused initiative is now expanding internally to further streamline Basiq Dental’s distribution processes.

Next Steps

Building on the success of the initial rollout, the two companies are now working on further enhancements— integrating automated RFID label applicators, aimed at further optimizing the manual tagging process, and exploring the use of RFID for bulk shipments.

In the long term, Basiq Dental aims to build valuable partnerships within the industry—not only with organizations already using RFID technology, but with those exploring its adoption. By joining forces, the goal is to support dental professionals and patients as efficiently, transparently, and safely as possible.
