Party Fiesta, Europe’s leading party supplies and costume retail chain faced a common but critical retail problem: inaccurate inventory visibility caused by phantom stock
Operating an extensive network of corporate and franchise stores, the company manages a very large SKU assortment characterized by high turnover and strong seasonal demand peaks. Party Fiesta focuses on innovation and operational efficiency to deliver a fast, engaging, and reliable shopping experience across its physical stores and omnichannel channels.
But with thousands of SKUs, frequent assortment changes, and extreme seasonal sales peaks, traditional barcode-based inventory processes could not provide reliable, real-time data. Manual cycle counts were time-consuming, disruptive to store operations, and still prone to human error.
Working with Kyubi
As a result, inventory inaccuracies led to stockouts, lost sales opportunities, inefficient replenishment, and increased operational costs. In addition, Party Fiesta wanted to modernize the in-store experience by reducing checkout friction and strengthening loss prevention without increasing staff workload.
The European retail giant turned to Kyubi System as it required a solution capable of delivering real-time, item-level visibility while supporting a scalable omnichannel strategy.
RFID Solution
A global integrator of end-to-end RFID solutions for retail, logistics, and healthcare environments, Kyubi System delivers turnkey RFID ecosystems combining high-performance tags, overhead and fixed readers, RFID-enabled furniture, and software platforms that provide real-time inventory visibility and item-level traceability.
The company helps organizations eliminate inventory inaccuracies, reduce shrinkage, automate operational processes, and enable data-driven decision-making through smart identification and advanced data capture technologies.
For Party Fiesta, Kyubi System designed and implemented a comprehensive 360-degree RFID ecosystem that transformed physical stores into fully sensorized retail environments. The deployment included overhead RFID infrastructure using Zebra ATR700 ceiling readers, strategically installed to continuously monitor inventory movement throughout the store. This eliminated the need for manual cycle counts and provided automated, real-time inventory visibility without staff intervention.
View at Unit Level
Each item was identified at unit level using high-performance RFID tags based on the Impinj M700 platform. These tags ensured near-100% read accuracy, even in high-density product areas or with complex materials, enabling consistent and reliable data capture.
A key innovation of the project was the implementation of the AIR! EASY Pay Table at the point of sale. Using RFID technology, customers can place all items on the checkout surface simultaneously. The system instantly identifies each product, processes payment via NFC, and automatically deactivates security alarms. This dramatically reduces checkout time, eliminates queues, and improves the overall customer experience.
Integration Results
Additionally, the RFID ecosystem also acts as an integrated loss-prevention system. Any item leaving the store without being correctly processed at checkout triggers an immediate alert, providing real-time protection against shrinkage.
The implementation delivered immediate operational and business benefits for Party Fiesta:
- Real-time inventory visibility across thousands of SKUs, virtually eliminating phantom stock
- Significant reduction in stockouts through accurate, automated replenishment data
- Elimination of manual cycle counts, freeing staff to focus on customer service
- Faster, frictionless checkout experience, improving customer satisfaction
- Enhanced security and shrinkage control through automated RFID-based alerts
Beyond efficiency gains, Party Fiesta achieved a new level of operational intelligence, enabling faster decision-making and better synchronization between physical inventory and digital systems.
“This project shows that RFID is no longer optional for modern retail. Real-time data allows us to operate more efficiently while delivering a seamless shopping experience to our customers,” said Damián Arquè, CEO of Kyubi System.
Retail 4.0
Gilberto Monasterios, CMO of Kyubi System, said the RFID ecosystem positions Party Fiesta at the forefront of Retail 4.0, enabling full item-level traceability from shelf to checkout.
The real-time synchronization of physical inventory with cloud systems provides a strong foundation for advanced omnichannel services such as Buy Online, Pick Up In Store (BOPIS) and future autonomous retail initiatives. The solution is fully scalable and can be replicated across additional store locations.
“It’s not just about knowing what’s on the shelf; it’s about how that data transforms retail operations and customer experience,” said Monasterios.
